Ticket Upgrades

Ticket upgrades are possible at any time as long as the ticket tier is still available in our shop. The price for an upgrade are the difference between the price of your old ticket and the price of the higher ticket tier.

There are no extra charges or cancellation fees for upgrades.

Procedure 

  1. Fill out the form below and give your old order number.
  2. You will receive an exclusive shop link for an upgraded ticket via e-mail. The old ticket will be canceled due to technical reasons.
  3. Pay the delta price using a possible payment method of your choice.
  4. Approximately 7 to 14 days after your payment, you will receive new ticket(s) via e-mail. Make sure to check your spam or junk e-mail folder.
  5. Print out your new ticket and bring it to Everfree Encore. The old ticket will be no longer valid.
Ticket Downgrades

Ticket downgrades are basically cancelations, therefore the regulations on cancelations apply accordingly. If you downgrade your ticket, the difference between the price of your old ticket and the price of the lower ticket tier will be refunded minus a cancelation fee based on the amounts given below (please see “Ticket Cancelations”).

Procedure 

  1. Fill out the form below and give your old order number. Please also state if there are any important reasons for the downgrade. 
  2. You will receive an exclusive shop link to redeem your downgraded ticket via e-mail. The old ticket will be canceled due to technical reasons. You will also receive an invoice stating the refunded amount.
  3. Immediately after redeeming your ticket, you will receive new tickets via e-mail. Make sure to check your spam or junk e-mail folder.
  4. Print out your new ticket and bring it to Everfree Encore. The old ticket will be no longer valid.
  5. Approximately 7 – 14 days after your request, you will receive the refund.
Ticket Cancelations

Unfortunately, we have received many cancellation requests shortly before Everfree Encore in the past years. As Everfree Encore is a non-profit orientated convention, the high number of cancellations leads to a huge financial risk and endangers the financial feasability and overall success of Everfree Encore . We can no longer rely on our financial plannings  and have to cut the budget in that case, leading to cuts of the program and a less exciting experience for our visitors in the worst case.

Therefore, we find ourselves constrained to limit the cancellation possibilities and charge cancellation fees.

Regulations on Cancelations 

  • Tickets can be cancelled without any charges 14 days after ordering.
  • More than 14 days after ordering, a cancellation fee is charged. The fee amounts to
    • 15,- € for Silver tickets,
    • 25,- € for Gold and Platinum tickets until May 15th,
    • 35,- € for Gold and Platinum tickets from May 16th.
  • The cancellation fee can be lowered or relinquished in case of important reasons. Therefore, please state the reason for your cancellation in the form below. Such important reasons can be
    • Illnesses or other medical reasons
    • Important personal or family incidents
    • Job and business tasks
    • Duty for honorary appointments, aid agencies, civil services and non-profit organizations
  • If you have originally paid via PayPal, credit card or another payment provider, due to extra fees and security reasons you will receive your refund via this payment provider.
  • 8 weeks before Everfree Encore , cancellations are no longer possible regardless of when the ticket was purchased. A ticket may nevertheless be transferred to another person (please see description below).

Procedure 

  1. Fill out the form below and give your order number. Please also state if there are any important reasons for your cancelation. 
  2. You will receive a credit invoice stating the refundable amount within up to 14 days.
  3. In time with the credit invoice, you will receive the amount via the respective payment channel.

Special Regulations for Vendor Stalls 

For vendor stalls, the cancellation regulations according to the Terms and Conditions for Vendors are decisive.

  • Vendor stalls cannot be cancelled or refunded because of the application procedure and the necessary administrative effort to provide vendor stalls and services.
  • Vendor stalls may be passed on to other applicants on request. The price for vendor stalls and services which are transferred to the new vendor can be refunded with the following exceptions:
    • Prices for extra services (power plugs, partition screens) or tables which cannot be transferred will not be refunded as we have to pay for these services directly to the venue host.
    • For changing the vendor directory, neccessary extra publications and communication with the trade authorities, a cancellation fee of up to 5 € respective 10 % of the total price can be withheld.

For the tickets vendors and their assistants have bought, the usual cancellation regulations apply.

Transfer a Ticket to another Person or Change Ticket Data

Tickets can be transferred to another person. The person to whom the ticket is transferred has to confirm the transfer and give the actual name, address and e-mail address.

There are no extra charges or cancellation fees for ticket transfers or data changes.

Procedure 

  1. Fill out the form below and give your order number. Name the changes that have to be made. If you want to transfer a ticket, please give the name and address of the new ticket holder.
  2. Approximately 7 top 14 days after your request, you will receive new tickets via e-mail. Make sure to check your spam or junk e-mail folder.
  3. Print out the new ticket and bring it to Everfree Encore. The old ticket will be no longer valid.
Redeem a voucher AFTER purchasing a ticket

Did you receive a voucher for a ticket discount (e.g. as a musician or contributor), but have already bought a ticket? No problem, just follow these instructions:

Procedure 

  1. Fill out the cancelation form below and give your order number. Also state that you would like to redeem a voucher. Of course, no cancelation fee is raised in that case.
  2. You will receive an exclusive shop link to redeem your new discounted ticket via e-mail. The old ticket will be canceled due to technical reasons. You will also receive an invoice stating the refunded amount.
  3. Immediately after redeeming your ticket, you will receive new tickets via e-mail. Make sure to check your spam or junk e-mail folder.
  4. Print out your new ticket and bring it to Everfree Encore. The old ticket will be no longer valid.
  5. Approximately 7 – 14 days after your request, you will receive the refund.
